Data Protection Report for Committee of the Christian Science Students’ Association of the Pupils of Fenella Bennetts CSB

The Executive Committee has reviewed the Association’s activities to ensure that they comply with the requirements of the General Data Protection Regulations.

Data Audit
We have audited the data that we hold and ensured that we only hold data that is current. Any out-of-date data has been deleted or securely disposed of.

Basis for Holding and Processing Data
We have reviewed the legal basis on which we hold data. As a membership organisation, the data we hold is given to us by our members and we use it in order to fulfil our contract with them and on the basis of legitimate interest, to communicate with them in the ways that they would expect from us as a membership organisation.

Other data we hold is given to us by people requesting to attend our meetings and we use it to respond to that request, and to enable them to attend the meetings, when their request is accepted. This is done on the basis of fulfilling our contract with them and legitimate interest.

We only communicate with members by email or post in relation to their membership, the activities provided for members, or in the case of nonmembers in relation to events that they have asked to attend. This does not include any marketing and is done on the basis of fulfilling a contract and legitimate interest.

Collecting Data
In the future when we collect data when someone applies to attend one of our meetings, we will include a privacy statement about how we will use their data, provide details about our privacy policy and how they can access it.

Sharing Data
We only share personal information between members of the Association. If we do not have records of the consent of existing members to having their data shared, we will collect this consent, record the wording of the consent and the date the consent was given in our membership records. When we write to or email members to ask if they wish us to share their data with other members, we will use this wording:

In the past the Association has always shared the names, addresses, email addresses and telephone numbers of members with other members of the Association. On 25 May 2018 UK law relating to how organisations use this kind of information changed and we are only now able to share members’ details if they have given an active agreement that we can do this.

Security of Data
We take reasonable steps to ensure that the data we hold is secure by making sure that it is held in as few places as practical, by ensuring that if it is stored on the Cloud a reputable storage system is used and by ensuring that unauthorised people do not have access to the data.
